Count wheelchair positions separately
Total seats and wheelchair positions are different capacity limits. Confirm both, including companions and staff, before choosing a vehicle.
Inspect the loading plan
Confirm curb access, lift clearance, staging space and the route from the building entrance to the vehicle. Busy campuses, hotels and event venues may require a designated coordinator.
Protect the event schedule
Build boarding and securement time into departure, then add a clear group-ready time before the vehicle-ready time. For multiple vehicles, agree on order and arrival staging.
