A trip record should tell a complete story
A useful record identifies what was requested, what was assigned, what happened and how the trip was closed. That continuity matters when several teams share responsibility for a program.
Document exceptions consistently
No-shows, cancellations, late changes and unusual wait times should follow agreed definitions. Consistent categories make review more useful and reduce disputes.
- Scheduled and actual trip status
- Pickup and drop-off records
- Cancellation or no-show reason
- Mileage, service code or billing reference where required
Use reporting to improve service
Reports should reveal repeat issues by route, location or time window. The goal is to adjust the operating plan, not merely archive data.
