How to Book Wheelchair Accessible Transportation in the Bay Area

What to prepare before you request accessible transportation, and why a few extra details change the vehicle you are assigned.

Start with the passenger, not the vehicle

The single most useful thing you can tell a transportation provider is how the passenger boards. A manual wheelchair that folds, a heavy power chair, a scooter, a walker and an unaided walking passenger all lead to different vehicle decisions, and getting that wrong is the main reason accessible trips go badly.

If you are booking for someone else, ask them directly rather than estimating. Device type, approximate weight and whether the passenger transfers to a seat are the three answers that matter most.

Details that shape the quote

Accessible transportation is quoted on time, distance, vehicle type and how many boarding events are involved. A trip with four wheelchair boardings takes meaningfully longer than one with four walking passengers, and an honest schedule accounts for that.

  • Pickup and drop-off addresses, including which entrance to use
  • Date, time and whether the return is known
  • Number of wheelchair passengers and ambulatory passengers
  • Mobility device types and any oversized equipment
  • Whether companions, family members or staff are travelling
  • Whether this is a one-time trip or a repeating schedule

How much notice to give

For an individual wheelchair van trip, earlier is better but short-notice requests are often workable. For group movements, lift-equipped buses and anything on a fixed event timetable, book as far ahead as you reasonably can — lift-equipped capacity is finite across the region.

For recurring programs, allow several weeks. The first version of a route is rarely the final one, and a short planning period produces a much better schedule.

Ask about boarding conditions

Curb height, driveway slope, gate access, garage clearance and whether a lift can deploy safely all affect the trip. A quick photo of the pickup entrance often prevents a problem on the day. This matters most at older buildings, hillside homes and busy hospital or hotel entrances.
